moving to a new office space

Moving offices can have a significant impact on both large and small businesses. A new space is exciting, whether it gives you more room to grow, more space to create, or more control over your brand and environment—once you get past the move itself.

Any office relocation is a major undertaking that requires careful planning. It may appear intimidating, especially if you’ve never had to coordinate a move before, but don’t be concerned. It, like any other process, can be broken down into simple tasks.

Check Circle iconStep 1: Find the best location.

While not many coworking spaces have retail-level locations, location is important, and there are a few key factors to consider when looking for your space. Will your group use public transportation? Walk? Bike? Drive?

According to the 2017 Global Workspace Association shared workspace member survey, almost half of the members of shared workspaces paying for their own membership (meaning their boss did not choose the location) chose “close to home” as the most important factor in their workspace choice, while only 9 percent chose “close to public transportation.”

commuting to the office

So, collaborate with your broker to understand the potential market near your space. Alternatively, target a high-potential market and wait for the appropriate space to become available.

Check Circle icon

Step 2: Get proper signage.

Negotiate signage as part of your lease. This is not something that should be left to a fist-bump between brokers. Obtain as much signage as possible. Members do not want their visitors to be frustrated at any point during the meeting process.

Check Circle icon

Step 3: Check nearby retail and food businesses.

Yes, you serve the best local coffee in town, and you have a large refrigerator for those who bring their lunch. But, like other humans, your members will want to go out for lunch or a latte for a change of pace and some Vitamin D.

takeaway-coffee-sign-at-a-coffee-shop_t20_GJ9BL3

Are there restaurants within a two to three-block radius? What about coffee shops? Retail? What is your building’s “walking score”? As part of your due diligence, map out all the amenities within a three-block radius.

Check Circle icon

Step 4: Schedule your move.

Plan out your relocation carefully. You may not have much flexibility in terms of moving dates, but if you can, avoid moving during your company’s busiest season. Remember that your company must continue to operate during the relocation process.

Check Circle icon

Step 5: Check what furniture you’ll need.

Determine whether you need to order any furniture for your new space, and then do so. Most coworking spaces and serviced offices will provide all of the furniture and fit-out you require.

office char furniture

Serviced office providers can source furniture for you if you have specific requirements. Make a list of everything you intend to take with you on the move. Make a list of everything you require.

Check Circle icon

Step 6: Inform your security company.

Contact your new building manager at least a month before your move to see if security is included in your rental. If you need to hire your own security company, now is the time to get quotes and have them survey the new office. Many security companies require a month’s notice, so plan ahead of time.

Check Circle icon

Step 7: Sort out your essential facilities.

Examine the services covered by your new office contract. Many, if not all, of your essential amenities, may be covered by your rental if it is a serviced office or coworking space. Phones, phone lines, IT, insurance, business rates, electronics, and cables must all be addressed. Request assistance from your current suppliers during the relocation.

Check Circle icon

Step 8: Inform your suppliers of your new address.

Prepare change of address notifications to send to contacts and suppliers, and set up mail redirections and forwarding numbers if you can’t keep your current phone number.

women-business-technology-technology-office-woman-laptop-phone-work-meeting-call-tech-tech-phone-call_t20_4bwzG2

If you have supplies delivered, contact them at least three weeks in advance to let them know your moving date. Don’t forget to notify your cleaning service as well. If supplies and cleaning aren’t already included in your rent, now is a good time to shop around for the best deals on supplies and cleaning at your new office space.

Check Circle icon

Step 9: Set up your office early.

You should have all of the major components in place about two weeks before you move in so that your office is ready for your team. Broadband and phones, as well as any cabinets and storage units, must be operational. Bring in IT to configure all computers and servers.

Bottomline

A great deal of planning goes into a successful office move. When it comes to adopting flexible work, the challenge is heightened because it requires organizational self-reflection to ensure that the right people, resources, and change management tactics are used during the transition. This checklist can help you get started.

Downtown Denver, USA

Denver is a haven for outdoor enthusiasts and one of America’s original Old West towns. It is now a thriving economic and administrative centre, enticing many to establish and maintain their professional lives here. Beautiful weather, world-class restaurants and nightclubs, and thriving arts and music scene all contribute to the impression that this is a growing city.

Denver is synonymous with creativity, and what could be more creative these days than being an entrepreneur, freelancer, or startup founder? But what is the future of coworking in Denver this 2022 and what changes can we expect?

Denver’s Coworking Footprint Post Pandemic

downtown denver usa
Downtown Denver USA

According to a new CBRE analysis, Denver’s coworking space inventory has decreased by 8.7 per cent since the pandemic, bringing the city’s inventory to 2.6 million square feet.

This decrease is being mirrored throughout the rest of the country, with the entire country reducing 9 per cent of coworking inventory since the pandemic began in early 2020. At the moment, the total inventory is slightly more than 80 million square feet.

Coworking operators suffered greatly as a result of the widespread shift to working from home during the pandemic’s onset. Coworking spaces were places of high density and open layouts known for their close quarters just before the world ended. Even after some restrictions were lifted, many of these spaces had to adapt to physical separation and sanitation guidelines in order for members to feel safe.

Despite the fact that Denver’s coworking footprint has shrunk, Denver has the seventh-highest percentage of coworking space in the United States.

Flexible office space can be an asset to a company’s real estate portfolio. It allows for quick expansion and contraction, which is critical as businesses implement hybrid work strategies and assess how their employees will use the office in the future.

As a result of companies shifting their return-to-work strategies, CBRE predicts that the coworking industry will see significant growth in both occupancy and square footage throughout the year.

Changes in Denver Workspaces Post Pandemic

Despite being permitted to reopen at 50% capacity, some local businesses are hesitant to return to their offices—and many others are already consolidating, adapting, or moving to coworking spaces. So here are some of the changes users of coworking spaces should expect.

covid precaution for coworking spaces

1. Health is the number one priority.

Most businesses are preparing for the short term by putting up signs reminding employees to wash their hands and maintain social distance. Some companies plan to raise panel heights to create more of a barrier between employees, expand workspaces, and use low-cost solutions to get to the next stage of reopening.

2. The mask mandate is set to expire in early 2022.

In Denver, masks may still be required in some places after the mask mandate expires in early 2022. It will mainly be up to businesses to implement health protocols. For instance, attendees may still be required to wear a mask at a corporate event.

With covid-constraints in mind, some businesses have chosen to expand their footprints, while others have consolidated their footprints and moved to coworking spaces.

3. Flexibility is key.

Given the uncertainty of the future, many businesses are embracing flexible lease terms. Businesses can use a coworking space on a monthly or annual basis rather than signing a five- to ten-year lease. Grants and loans are available for businesses that are struggling to pay their rent. Some businesses have been negotiating lease terms with their landlords one-on-one.

Brooklyn, New York is on its way to becoming a hot office market in New York City. Companies looking to optimize for social distancing benefit from Brooklyn office space’s relative spaciousness when compared to Manhattan office space. Furthermore, rents in the Brooklyn, NY office market are significantly lower, which is good news for companies looking to cut costs. Coworking spaces in Brooklyn are a viable option for office space for New York-based companies on a budget.

The Future of Hybrid Work and Other Coworking Trends

Camp David Coworking Space in Brooklyn, New York

Let’s face it: even though many people have returned to their pre-pandemic jobs, there has been an undeniable shift in workplace culture. According to a LaSalle Network Survey, 70 per cent of business leaders planned to have employees back in the office by the fall, but 77 per cent of respondents believed their workforce would use a hybrid model.

In support of those findings, a recent Work Design article stated that the coworking market is growing because the concept of the office is evolving, and increased flexibility and agility is a key component of that evolution.

In this post-pandemic environment, many professionals have figured out how to work productively from home—or at least close to home—and are choosing not to return to the office full-time. People want to spend less time commuting to work, and the rise of coworking appears to make this a more attainable goal for many.

Coworking spaces can help some small businesses, startups, and freelancers cut costs by providing flexible contracts and high-quality office amenities without long-term commitments in an uncertain market. It stands to reason that the pandemic could cause a reshuffling of buildings and office space in the city center.

Though prices fell in the early stages of the pandemic, they have remained stable for the majority of 2021.

Though there is plenty on offer for smaller teams of up to 15 people, supply for larger teams of more than 25 people is limited outside of the Brisbane CBD. If you’re looking for a great deal close to the CBD for a small team of 1-4, Fortitude Valley, South Brisbane, and Milton provide the best value, with median prices under $500 per person.

Traditional businesses, like other markets in Australia, will have lower prices than coworking operators, though the space may lack some of the amenities you’ve come to expect from a typical coworking environment.

Fully Managed vs Traditional Office Space

regus coworking space for rent australia (1)
Regus Australia

As a business, you have a plethora of options, ranging from fully-managed office operators like Regus and Servcorp to the new kids on the block like WeWork, Regus (owned by IWG), JustCo, and Australian-owned Altitude, Hub Australia, and Workspace365, to name a few. These fully managed operators provide everything you need at a single monthly price, from desks and chairs to printing and amenities like showers and bike racks, with the option to add more desks or downsize the space as needed.

Renting space from traditional businesses with spare offices is typically less expensive than renting space from dedicated coworking operators, owing to lower overheads and the fact that rental income is not their core business model.

Coworking vs Private Office

Serviced offices, private offices, coworking spaces at 8 Shenton Way Justco AXA Tower Singapore

Though many coworking operators offer rates for a single desk in an open-plan space, these typically represent less than 20% of the available spaces. These private offices usually share communal facilities like meeting rooms, bathrooms, and kitchen areas, but they are self-contained and fully serviced.

When it comes to office size, smaller private spaces with fewer than ten desks account for 82 percent of total available space. This is in response to a demand for smaller private spaces by businesses looking for safe places for their employees to work away from HQ or home, and with Work Safe Australia’s new physical distancing guidelines coming into play, we expect operators to convert open plan spaces into more private small offices.

How to Calculate the Cost of Office Space in Brisbane

Rent is calculated for traditional office leasing based on the price per square meter and multiplied by the size of the space to yield a net annual rent. In addition to the rent, there are outgoings and land tax that must be paid by the tenant.

To calculate the number of desks your business requires for flexible office space, the calculation is often simpler and dependent on the size of your team. If, for example, each desk in a private office costs $800 per person, the monthly cost for a six-person office is simply $4,800 ($800 x 6 = $4,800). Flexible office rental typically includes credits for meeting rooms and printing facilities, but for heavy users of either, these services can be included. Of course, in addition to your office space and desks, you’ll have access to common areas such as kitchens, meeting rooms, restrooms, and other amenities such as showers and secure bike racks.

It’s important to note that traditional office rent does not include the fit-out, desks, or any other amenities you might want to provide your employees. Furthermore, you may be paying for extra space that you do not require.

A flexible office space, on the other hand, allows you to only pay for what you need while also providing numerous amenities that would not be economical or feasible in a small traditional office setting.

For any enquiries, feel free to talk to us thru chat!

Sydney leads the way in available flexible office space for rent, with 37,095 sqm. Though some of this new capacity has come from new office openings, the pandemic has also added to the market’s supply.

The Sydney CBD, as the primary business center for many Australian head offices, has some of the highest rents before discounts. The median price per person is higher in larger offices because these larger spaces are often fully enclosed, on a dedicated floor, and include their own amenities and meeting rooms.

If you don’t have the budget for the Sydney CBD, there are plenty of other flexible spaces outside the CBD or on the city outskirts where you can quickly set up shop, such as North Sydney, St Leonards, or North Strathfield, that offer great value.

For smaller businesses that require closer proximity to the downtown core, Pyrmont, Chippendale, Paddington, and Bondi Junction all offer flexible office space at a lower cost.

From the Northern Beaches to Sydney’s Inner and Outer West, and from South Sydney to the Eastern Suburbs, Sydney has office space for rent in over 70 bustling suburbs starting at $200 per person per month.

Most flexible office prices are calculated on a per workstation (or per person) per month basis in the flexible office market. Some flexible agreements can be negotiated on a per square foot, per month basis.
